WhoWouldAIHire Privacy Policy

Effective date: [effective date: PENDING]

This policy explains how Robert Companies LLC ("we," "us"), operator of WhoWouldAIHire at whowouldaihire.com, collects, uses and shares information.

1. Information we collect

Information you give us - Contact details: name, email address, and business name. - Report and order details: city and state, trade or industry, and website. - Chats with Clara, our AI assistant: what you type, and the setup steps you complete. Transcripts are kept so we can deliver the work and answer questions later. - Phone number and text messages, only if you opt in to setup texts. - Business details for the Fix: hours, services, service area, licenses and photos you share. - Customer contact lists you give us for review requests. We use these only to send your review requests, on your behalf. - Messages you send us.

Access you grant us - Manager access to your Google Business Profile and user access to your website. We never ask for or store your passwords. If you paste one into a chat, we automatically remove it from the transcript. You can revoke access at any time.

Payment information - Payments are processed by Stripe. Stripe receives your card or other payment details. We receive limited information from Stripe, such as name, email, billing country or postal code, the last 4 digits of the card, and payment status. We never see or store full card numbers. See Stripe's privacy policy at https://stripe.com/privacy.

Information collected automatically - Basic technical data when you visit our site: IP address, browser type, pages viewed, referring page and approximate location. This comes from server logs and privacy-friendly analytics. - We use only cookies that are strictly necessary, or used for analytics. We do not sell advertising based on your browsing.

Public business information - To produce Leaderboards and Reports, we collect publicly available information about businesses: names, websites, public listings and reviews, and what AI assistants say about them. - We may also collect public business contact information (for example, a contact email published on a business website) to tell a business about its results.

2. How we use information

  • To deliver free Reports, the Fix and Growth, and to provide support (including through Clara).
  • To process payments, prevent fraud, and keep records required by law, such as tax and accounting records.
  • To publish Leaderboards built from AI assistant responses.
  • To send transactional emails, and occasional marketing emails to businesses. Every marketing email includes our address and an unsubscribe link, and we honor opt-outs promptly.
  • To improve our methods and services.

3. How we share information

We do not sell personal information. We share it only: - With service providers acting on our behalf: - payment processing (Stripe); - email and text-message delivery; - website hosting and form handling (for example, a form service that receives report requests while live chat is offline); - customer-support and CRM tools; - AI model providers whose official APIs we use to run questions and draft recommendations (such as OpenAI, Google, Anthropic and xAI). We send these providers questions and your business name or website as needed, not your payment details. - When required by law, or to protect our rights, our users, or the public. - As part of a business transfer, such as a merger or sale of assets, subject to this policy.

4. Data retention

  • Order and payment records: kept for at least 7 years, for tax and accounting purposes.
  • Reports and measurements: kept so you can access them, and so we can compare results at day 30, 60 and 90, and month to month on Growth.
  • Chat transcripts: kept for as long as you're a customer, plus 2 years. [Bryan to confirm the period.]
  • Customer contact lists for review requests: deleted within 90 days after the campaign ends, or sooner if you ask. [Bryan to confirm the period.]
  • You may ask us to delete Report data that is not needed for legal records.
  • Raw AI responses used for Leaderboards are kept as research records.

5. Your choices and rights

  • Email: unsubscribe from marketing using the link in any marketing email, or by emailing [support email: PENDING].
  • Texts: reply STOP to any text to opt out.
  • Access, correction, deletion: email [support email: PENDING]. We will verify your request and respond within 45 days. Depending on where you live (for example, under the Virginia Consumer Data Protection Act or the California Consumer Privacy Act, where they apply), you may have rights to access, correct, delete, or obtain a copy of your personal data, and to opt out of sale or targeted advertising. We do not sell personal data or use it for targeted advertising. If we deny a request, you may appeal by replying to our decision.
  • Businesses on Leaderboards: request a correction or removal by emailing [support email: PENDING] with the page URL.

6. Security

We use reasonable safeguards: encrypted connections, access controls, and reputable providers. No system is perfectly secure.

7. Children

The Services are for businesses and adults. We do not knowingly collect information from children under 13. Contact us if you believe a child has provided information and we will delete it.

8. International users
